Managing your business expenses doesn’t have to feel like hunting for receipts in a tornado. With a little know-how and the help of QuickBooks Online (QBO), you can track, categorize, and understand your spending — even if you’re totally new to bookkeeping.

This post will walk you through the basics of business expenses in QBO, including how to track them, what to categorize, and tips for making tax season less painful.

1. What Counts as a Business Expense?

If it helps you run your business, chances are it’s an expense. Common examples:

  • Office supplies
  • Website hosting
  • Equipment/tools
  • Subscriptions (like Canva or Zoom)
  • Business travel or meals (when applicable)

💡 Tip: Keep personal and business expenses separate. It saves tons of time and stress later.

2. Connecting Your Bank or Credit Card to QBO

Syncing your accounts is step one to tracking expenses like a pro.

To connect a bank or card:

  • Click on Banking from the left menu.
  • Select Link account.
  • Search for your bank and follow the prompts.

QuickBooks will import transactions for you — no more manual entry!

3. Categorizing Expenses in QBO

Once transactions are in, you’ll need to categorize them so your reports (and taxes) make sense.

Example Categories:

  • Advertising & Marketing
  • Office Expenses
  • Meals & Entertainment (50% deductible)
  • Travel
  • Supplies
  • Rent or Lease

QBO will try to guess the right category, but always review and update when needed.

4. Matching Receipts with Transactions

Receipts are gold during audits and tax season.

You can:

  • Snap photos of receipts with the QBO app
  • Forward emailed receipts to QuickBooks
  • Attach receipts to existing transactions

Bonus: QBO even reads the totals and dates for you.

5. Reviewing Reports Monthly

The Profit & Loss Report is your best friend.

It shows:

  • Your income
  • Your expenses
  • Your net profit (or loss)

Set a monthly reminder to review it — it’s how you spot trends, overspending, or unexpected costs.
